Regional Administrator – North Queensland

SLSQ is searching for a dynamic Regional Administrator to support our North Queensland Branch!

About the Role:

The Regional Administrator is responsible for providing proactive administrative support and advice to SLSQ North Queensland (NQ) Branch Committees, Office Bearers and Clubs. This role is also responsible for the day-to-day operations of the Branch. The NQ Branch includes 5 clubs, namely Port Douglas, Ellis Beach, Cairns (Palm Cove), Etty Bay, and Mission Beach. This role is based at our Smithfield office and occasional after hours/weekend work will be required.

Key Roles & Responsibilities:

  • General reception duties.
  • Prepare the Annual Report.
  • Create the annual calendar of courses for clubs in response to club training needs.
  • Prepare and distribute meeting reminders, agendas, and related documents for all meetings of SLSQ North Queensland Branch Boards, Committees and Panels in advance of each meeting.
  • Review audio/video recordings, transcribe, and minute the proceedings for all meetings of SLSQ North Queensland Branch Boards, Committees and Panels, as needed, ensuring accurate and thorough documentation.
  • Carry out and implement/communicate all decisions of the Committees of SLSQ North Queensland Branch (Council, NQ Board, Board of Lifesaving, Sport, Youth and Junior Activities).
  • Identify gaps in current rules, policies and procedures and draft/implement policies and standard operating procedures as required (in conjunction with Branch Executive and Council).
  • Maintain relationships with Branch and Club office bearers and provide necessary support in their roles.
  • Attend and assist with various annual events throughout the year including the North Queensland AGM and Awards of Excellence (AOE) luncheons, sign on day and ‘come and try’ day, and the pool rescue championships.
  • Liaise with necessary volunteers and/or staff in relation to carnivals. Provide advice and assistance in relation to the provision of administrative support including results, on-beach requirements, liaison and assistance to senior officials.
  • Accurately enter daily financial data into the accounting system, including processing required payments and generating invoices.

Skills & Experience:

  • Working with Children Blue Card (Essential).
  • Understanding of Surf Lifesaving or a similar community/volunteer-based activity, including experience working with volunteers (Highly Desired).
  • Experience providing efficient and accurate support to various stakeholders in administration and support roles (Essential).
  • Proven experience submitting clear and accurate administrative reporting within set timeframes (Essential).
  • Strong computer literacy and advanced knowledge of the Microsoft Office suite of programs, in particular Word, Excel, Outlook and Power-Point (Essential).
  • Understanding of MYOB accounting software (Highly Desired).
  • Experience using SLSA’s Surfguard membership database (Highly Desired).
  • Excellent interpersonal skills, verbal and written communication.
  • Outstanding organisational skills and time management.
  • Ability to plan and prioritise workloads to meet various deadlines.
  • Ability to work autonomously while also providing a high level of support.
  • Strong accuracy and attention to detail.
